Pipedrive vs Capsule

A focused sales pipeline against a deliberately small CRM with a free tier. Compared on entry cost, mailbox access and where each one runs out.

Both of these are sales CRMs for small teams, both publish every price, and both are far simpler than the platforms above them. The difference is ambition. Pipedrive wants to be the best pipeline you have used. Capsule wants to be a contact database that does not get in the way, and is comfortable being outgrown.

Where the floor sits

Capsule has a free tier and Pipedrive does not, and the free tier is more useful than most. Two users, two hundred and fifty contacts, five custom fields and one pipeline — small, but it includes connecting a Gmail or Outlook account, which is the capability free plans in this category almost always withhold. For a two-person business that is a working CRM at no cost.

Pipedrive starts at US$14 per seat per month billed annually with a fourteen-day trial and nothing beneath it. That is a low entry price by any standard, but it is a price. Capsule's first paid tier is US$18, which buys thirty thousand contacts, a shared mailbox, email templates and direct integrations.

Where each one runs out

They run out in different directions. Capsule's ceiling is depth: workflow automation, multiple pipelines, project boards, access controls and forecast-grade reporting all wait for Growth at US$36 per seat, and beyond Advanced at US$54 there is nowhere further to go. What is there is well made and there is not much of it.

Pipedrive's ceiling is higher and its gating is steeper. Mailbox sync, automation and forecasting arrive together at US$39, and above that sit two more tiers with a documented API, a large integration catalogue and the infrastructure of a much bigger product. A team of twenty will find Pipedrive still has room; the same team will have reached the top of Capsule.

The tier descriptions are worth reading in both cases. Capsule names the company size each plan is meant for — one to five employees, then small businesses with sales teams — which is unusually direct and makes the choice shorter.

Which should you choose?

Choose Capsule if you are two or three people, you want your mailbox connected without paying for it, and your idea of a good CRM is one you rarely think about. It is the better answer at the very small end and it is honest about where it stops.

Choose Pipedrive if selling is the job rather than a thing you also do, if you need automation and forecasting within the year, or if you expect the team to reach ten or more people. You will pay from day one, and you will not hit a wall.
